Dofygate team? Log in to the DOFY.io admin1. Who we are
Dofygate Limited designs, makes, sells and hires solar powered automatic traffic barriers. We are a company registered in England and Wales (company number 08131835) and our address is Manor Farm, Calthorpe, Norwich, Norfolk NR11 7QR.
We are the controller of the personal information described in this policy. If you have a question about it, or want to use any of your rights, email sales@dofygate.co.uk with "Privacy" in the subject line, phone 01263 493102 or write to us at the address above.
This policy covers dofy.io, our enquiries and quotes, the products and services we supply, our marketing, and DOFY.io, the system our team and authorised partners sign in to.
2. Information we collect
When you contact us
Your name, company, job title, email address, phone number and anything you tell us in a message, call, meeting or enquiry form, including the topic you chose and the page you sent it from. If you book a meeting through our Calendly link, Calendly collects your name, email address, the time you chose and any answers you give, and passes them to us.
When you buy, hire or work with us
Contact details for you and your colleagues or site contacts, billing and delivery addresses, details of orders, quotes, hires, payments and credit accounts, the serial numbers and site locations of barriers we supply, and warranty, servicing and repair records. If you open a trade or credit account we may obtain references and information from credit reference agencies.
When we email you
Our marketing emails can contain a small image and tracked links that tell us whether an email was opened and which links were clicked. We use this to see what interests our readers and to keep our lists accurate.
When you visit dofy.io
Our servers record technical details such as your IP address, browser, device and the pages requested, which we use to keep the site secure and working. If you accept analytics cookies, Google Analytics also collects information about how you use the site (see Cookies).
When you sign in to DOFY.io
If you are a member of our team or an authorised partner, we hold your account details, sign-in records and a record of what you do in the system, to run the business and keep the system secure.
Where else it comes from
Your employer or colleagues, our resellers and hire partners when they introduce you or supply you, and public business sources such as company websites, Companies House, business directories and business contact data providers.
3. How we use it and why
Data protection law requires a lawful basis for each use of personal information. Ours are:
| What we do | Lawful basis |
|---|---|
| Answer questions through Dofy, our chat assistant | Our legitimate interest in helping visitors find information |
| Answer enquiries, give advice and prepare quotes | Steps you ask for before a contract; our legitimate interest in responding to business enquiries |
| Supply, deliver, hire, install, service and repair products, and handle warranty claims | Performing our contract with you or your organisation |
| Invoice, collect payment and keep accounts | Contract; legal obligations (tax and company law) |
| Check credit before opening a trade or credit account | Legitimate interest in managing credit risk |
| Keep track of where our barriers are, so safety notices and recalls reach the people using them | Legitimate interest in product safety; legal obligations on manufacturers |
| Send our newsletter | Your consent |
| Send business contacts information about products and services like those they have asked about or bought | Legitimate interest in promoting our business (see Marketing) |
| Measure how the website is used with Google Analytics | Your consent, given on our cookie banner |
| Keep the website and DOFY.io secure, and run DOFY.io accounts | Legitimate interest in security and running our business |
| Deal with complaints, legal claims and regulators | Legal obligations; legitimate interest in protecting our rights |
Where we rely on legitimate interests, we have weighed them against your rights and expectations. You can object at any time (see Your rights).
4. Dofy, our chat assistant
Dofy is an AI assistant on our website that answers questions using the information published on dofy.io. Each message you send Dofy, with the rest of the conversation, is passed to Anthropic, whose Claude models write Dofy's replies under Anthropic's commercial terms. Please do not type sensitive personal information into the chat.
If you choose to talk to Dofy using your microphone, your browser asks your permission first. Your browser's own speech recognition service turns what you say into text (in Google Chrome this is provided by Google, in Microsoft Edge by Microsoft and in Safari by Apple). Only the text reaches us; we never receive or keep recordings of your voice.
We do not keep Dofy conversations. Your browser holds the conversation only until you close the tab, so it can follow you from page to page. If you ask Dofy for someone to call you back, we receive the details you enter (your name, phone number and anything else you add) together with the conversation, so we know what you asked about. We use them to call you back and keep them like any other enquiry. If you choose to book a meeting in the chat, Calendly's booking calendar loads inside Dofy and Calendly handles the booking under its own privacy policy.
5. Marketing
We send our newsletter only to people who have asked for it. We may also email or phone people at organisations about our products where it is relevant to their work, or where they have bought from or enquired with us before. Every marketing email has an unsubscribe link, and you can ask us to stop at any time by emailing sales@dofygate.co.uk. When you opt out we keep a short record so we do not contact you again.
6. Who we share it with
We do not sell personal information. We share it only where needed with:
- providers who run services for us, such as website and DOFY.io hosting, email, office software, accounting (Xero), meeting booking (Calendly), Anthropic for Dofy's replies and, with your consent, Google Analytics;
- hauliers and couriers who deliver and collect products;
- our resellers and hire partners, when you ask us to introduce you or when they are supplying you;
- credit reference agencies, insurers, banks, and our professional advisers such as accountants and solicitors;
- the police, courts, regulators or other authorities when the law requires it; and
- a buyer of all or part of our business, who would use it in the ways described here.
Providers acting for us may only use the information to provide their services to us.
7. Transfers outside the UK
Some providers, including Google, Calendly and Anthropic, may process personal information outside the UK, for example in the United States. When they do, we rely on the UK government's adequacy regulations (such as the UK extension to the EU-US Data Privacy Framework) or on the contract terms approved by the Information Commissioner to protect it.
8. How long we keep it
| Information | How long |
|---|---|
| Enquiries, call-back requests and quotes that do not lead to an order | 3 years from our last contact |
| Dofy conversations | Not kept by us, unless sent with a call-back request |
| Orders, hires, invoices, warranty, servicing and repair records | 6 years after the end of the financial year of the last transaction |
| Serial numbers and site locations of barriers | For the working life of the product, so safety information can reach its users |
| Newsletter subscriptions | Until you unsubscribe, then a suppression record so we do not email you again |
| Google Analytics data | No longer than 14 months |
| DOFY.io accounts and sign-in records | While the account is active and for up to 2 years after it closes |
9. Your rights
You have the right to ask for a copy of the personal information we hold about you, to have it corrected, deleted or restricted, to object to our using it (including an absolute right to object to marketing), to have it transferred to you or another organisation, and to withdraw consent at any time. Some rights depend on the circumstances. We will reply within one month, and there is normally no charge.
10. Cookies
Cookies are small files a website stores on your device. We use essential cookies, which the site needs to work, and, only if you accept them on our cookie banner, Google Analytics cookies. We do not use advertising cookies.
| Cookie | What it does | How long | Type |
|---|---|---|---|
dofy_cookie_consent | Remembers whether you accepted or rejected analytics cookies | 6 months | Essential |
dofycrm-session | Keeps forms and sign-in working securely | 120 minutes | Essential |
XSRF-TOKEN | Protects forms against cross-site request forgery | 120 minutes | Essential |
_ga | Google Analytics: tells visits from different browsers apart | 2 years | Analytics, only if you accept |
_ga_6MNWB0W5GH | Google Analytics: keeps track of a visit | 2 years | Analytics, only if you accept |
Until you accept, we do not load Google's analytics script at all, so nothing is sent to Google and no Google cookie is set. If you reject analytics cookies after accepting them, we stop Google Analytics and delete its cookies. Our videos are links to YouTube rather than embedded, so YouTube's cookies are only set if you go there. Calendly's booking calendar only loads, inside Dofy, if you choose to book a meeting, and Calendly may then set its own cookies under its policy. Dofy keeps your conversation in your browser's session storage, which is cleared when you close the tab.
You can also block or delete cookies in your browser settings, but the forms on this site will not work without the essential ones.
11. Security
We protect personal information with access controls, encrypted connections and reputable hosting, and we limit access to the people who need it. No system is completely secure, so please tell us straight away if you think your information has been put at risk.
12. Changes and complaints
We may update this policy, and the date at the top shows when it last changed. If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
